Who's Who

Bullpen Coordinator/Bullpen is the heart of the swim meet. These people stage the swimmers into proper events and the following people run the bullpen.

  1. Bullpen Coordinator. The coordinator arranges swimmers’ in proper lane sequence, which is called “seeding”. This position requires some experience (1 hour minimum!). Parents that want to learn this position can volunteer to assist.
  2. Announcer Liaison. The Announcer Liaison assists the coordinator by notifying the announcer which event needs to report to the bullpen. Sometimes the liaison relays the names of missing swimmers to the announcer so they can be located.
  3. Role Call. The people that perform the duties of role call gather the children that are participating in a particular event together. Role is called using the “Meet Program”. After role call, the swimmers are turned over to the bullpen coordinator for seeding. Only one person is required for this position for the 11-12 age group and above. For the younger children we allow more parents to participate since it is so much FUN! The children then take their place in proper order for the event.

Timers and Recorders: The timers and recorders make up the largest group of volunteers.

  1. Timers. The head timer is an experienced timer that hands out the stop watches, explains how to use them and acts as a back-up timer. Lane timers time the swimmers in their lane, and writes down the time on the swimmers “Time Sheets” and gives the sheet to the Sheet Runner.

Scoring: The scoring table is where the official times are determined and entered into the computer. The computer automatically determines the place of each swimmer and prints out labels to put on the place ribbons.

  1. Sheet Runner: The sheet runner picks up the completed time sheets from the timer/recorder and gives them to the Scoring Table.
  2. Tech Team/Data Entry: Manages the TimeDrops system and ensures times are coming over appropriately.  If needed, backup times are manually entered.  DQ's collected and entered. Prints results and ribbon labels.   *Training required - can be on the job, just ask if you'd like to shadow one of our tech team members!
  3. Ribbon Writers: Places the placement stickers on the ribbons. and sorts them into swimmer folders (This job can be done at home).

Announcer: The announcer calls out upcoming events to alert children for their event and also to make general announcements.

Officials: While officials are parent volunteers, some training is required before becoming an official.

  1. Starter. The starter signals the start of the heat.
  2. Referee. The referee is an experienced official that authenticates disqualifications, and determines whether a heat is ready to begin.
  3. Stroke & Turn Officials. Stroke & Turn Officials observe the swimmers during a heat to ensure that their strokes and turns are legal according to USS swimming rules.

Concessions: During home meets we will run the best concession stand in the league. All profits from concessions will be used to 1 – ensure payment to all our coaches, 2 – purchase equipment needed to run a meet, 3 – purchase awards for all swimmers at the end of the season, 4 – help pay for the end of the year banquet.

Set Up/Take Down: The set up and take down crews are groups of volunteers that will help the equipment manager set up all the equipment necessary the night prior to the meet and/or stay after the meet and break it down and put it all away.
